Resources
The Resources section is where shared files and folders live in JMS.
Think of it like a shared filing cabinet:
- Folders on the left
- Files inside folders
- Details appear when you select something
This guide matches the Resources Superdemo video.
What you see when you open Resources
Section titled “What you see when you open Resources”When you open Resources, the screen is split into three main areas:
- Top action buttons
- Folder list (left)
- File view (right)
Top actions (Buttons at the top)
Section titled “Top actions (Buttons at the top)”At the top of the Resources panel, you will see a few small buttons.
These buttons help you organise and find folders faster.
Sort (↕ icon)
Section titled “Sort (↕ icon)”Changes the order of folders.
You can sort by:
- Name
- Recently updated
This only changes how folders are displayed.
It does not move, rename, or delete anything.
Add folder (+ icon)
Section titled “Add folder (+ icon)”Creates a new folder.
Use this when you want to:
- Organise documents
- Create folders for teams or projects
If you don’t see this button, it means you don’t have permission.
Search (🔍 icon)
Section titled “Search (🔍 icon)”Searches for folders by name.
Use this when:
- There are many folders
- You know what you’re looking for
- You want to find something quickly
Left side — Folder list
Section titled “Left side — Folder list”This area shows all available folders, such as:
- Resource Documentation
- SOP
- Journey HR
- Team Manual Folders
- Other shared folders
Click the arrow (▶) to expand a folder and see subfolders.
Right side — File view (Empty state)
Section titled “Right side — File view (Empty state)”When no folder is selected, the right side shows:
“Select a folder to view files”
This is normal.
Files only appear after you click a folder.
Browsing folders
Section titled “Browsing folders”How to view files
Section titled “How to view files”- Click a folder on the left
- Files inside that folder appear on the right
- Click a file to view or download it (if allowed)
Nothing changes until you click — this is safe and expected.
Folder menu (Three dots ⋮)
Section titled “Folder menu (Three dots ⋮)”Each folder has a menu (⋮) with actions.
Available actions
Section titled “Available actions”Rename
Section titled “Rename”Changes the folder name.
Properties
Section titled “Properties”Shows information about the folder.
Create Subfolder
Section titled “Create Subfolder”Creates a folder inside the selected folder.
Use this to keep things organised.
Add File
Section titled “Add File”Uploads a file into the folder.
Use this to:
- Share documents
- Store manuals or SOPs
Delete Folder
Section titled “Delete Folder”Deletes the folder.
⚠️ This action is permanent and usually limited to administrators.
Managing permissions
Section titled “Managing permissions”What are permissions?
Section titled “What are permissions?”Permissions control who can see or use a folder.
Opening permissions
Section titled “Opening permissions”- Click the folder menu (⋮)
- Select Manage Permissions
A panel opens on the right.
Permission inheritance
Section titled “Permission inheritance”Inherit permissions from parent folder
Section titled “Inherit permissions from parent folder”When this option is enabled:
- The folder uses the same permissions as its parent
When disabled:
- Only the rules you set here will apply
This helps keep permissions simple and consistent.
Access rules
Section titled “Access rules”Access rules control:
- Who can access the folder
- What they can do
You can define:
- Type (User)
- Access (Read, etc.)
- Effect (Allow)
Click Add Rule to apply changes.
Saving or cancelling changes
Section titled “Saving or cancelling changes”After changing permissions:
- Click Save Permissions to apply
- Click Cancel to discard changes
Nothing changes until you save.
Who should manage permissions?
Section titled “Who should manage permissions?”Usually:
- Administrators
- Team leads
- Folder owners
If you’re unsure, ask before changing permissions.
When should I use Resources?
Section titled “When should I use Resources?”Use Resources to:
- Find shared documents
- Read SOPs and manuals
- Store internal files
- Control access to sensitive documents
