Business Settings
The Business section is used by administrators to manage important business setup options in JMS.
These settings help keep business records consistent across the system. They also control the options users see when working with clients, leads, implementation steps, charges, and internal email notifications.
You can access this area from:
Admin Tools > Business
The Business section includes:
- Frequencies
- Lead Sources
- Contact Labels
- Import Charge Mappings
- Implementation Turnaround
- Impl / Business Emails
Business navigation
Section titled “Business navigation”On the left side of the Business area, you will see the Business menu.
Use this menu to move between the different business setup pages. Each page controls a different type of business information.
The search icon can be used to quickly find items in the Business menu when the list becomes longer.
Frequencies
Section titled “Frequencies”The Frequencies page controls how often a business-related process happens.
Examples include:
- Weekly
- Bi-Weekly
- Semi-Monthly
- Monthly
- Quarterly
Each frequency includes:
- ID: The system number for the frequency
- Name: The readable name users see
- Code: The system code used behind the scenes
- Periods / Year: How many times the frequency occurs in one year
Add Frequency
Section titled “Add Frequency”Click Add Frequency to create a new business frequency.
The form includes:
- Name: The frequency name
- Code: A system code, which can be generated from the name
- Periods / Year: The number of periods in a year
- Custom period: Used when the standard period options do not apply
Click Create Frequency to save the new frequency.
Edit Frequency
Section titled “Edit Frequency”Click an existing frequency row to open the edit form.
From here, you can update:
- Name
- Code
- Periods per year
- Custom period setting
You can also delete the frequency if it should no longer be used.
Lead Sources
Section titled “Lead Sources”The Lead Sources page manages the list of ways a lead or opportunity may have entered the business.
Examples include:
- Cold Call
- Direct
- Google Ads
- Organic Search
- Referral
- Social Media
- Trade Show
- Website
Each lead source includes:
- ID: The system number
- Name: The source name users see
- Code: The system code used internally
Add Lead Source
Section titled “Add Lead Source”Click Add Lead Source to create a new source.
The form includes:
- Name: The lead source name
- Code: A system code, which can be generated from the name
Click Create Lead Source to save it.
Edit Lead Source
Section titled “Edit Lead Source”Click a lead source row to edit it.
You can update the name or code, then click Save Changes.
You can also delete a lead source if it should no longer be available.
Contact Labels
Section titled “Contact Labels”The Contact Labels page manages labels used to group contacts.
These labels help identify the type of contact or user group inside JMS.
Examples include:
- CSS
- Franchise Owner
- Inside Sales
- Outside Sales
Each contact label includes:
- ID: The system number
- Key: The system-friendly label name
- Name: The readable label name
- Active: Shows whether the label is currently available
Add Contact Label
Section titled “Add Contact Label”Click Add Contact Label to create a new label.
The form includes:
- Name: The label users will understand
- Key: The system key for the label
- Active: Controls whether the label is available for use
Click Save to create the label.
Import Charge Mappings
Section titled “Import Charge Mappings”The Import Charge Mappings page connects imported client information to the correct billing charges.
This is useful when JMS imports client or payroll information and needs to match that information to charge records.
The table includes:
- Key: The import field key
- Client Information Field: The imported field name
- Mapped Charge: The billing charge linked to that field
- Enabled: Shows whether the mapping is active
Examples include:
- Payroll Base Charge mapped to Per Payroll Base
- Per Employee Charge mapped to ATS Lite Monthly Base
- Delivery Charge not mapped
Configure Mapping
Section titled “Configure Mapping”Click Configure Mapping or select a mapping to edit it.
The edit form includes:
- Mapping Key: The system key for the imported field
- Client Information Field: The field being mapped
- Billing Charge: The charge linked to that field
- Enable mapping: Turns the mapping on or off
Click Save Mapping to apply the change.
Implementation Turnaround
Section titled “Implementation Turnaround”The Implementation Turnaround page manages turnaround profiles.
A turnaround profile is used to define expected timeframes during implementation. It helps the business understand how long certain implementation steps should take.
The profile table includes:
- ID
- Profile
- Status
- Rules
- Updated date
Below the profile list, JMS shows the turnaround matrix.
The matrix uses employee bands and prior values to calculate or guide expected turnaround rules.
Add Profile
Section titled “Add Profile”Click Add Profile to create a new turnaround profile.
The form includes:
- Profile Name
- Description
- Clone Rules From
- Activate immediately after create
Cloning rules helps you create a new profile from an existing one instead of starting from nothing.
Click Create Profile to save it.
Matrix rules
Section titled “Matrix rules”The matrix allows administrators to review or update the turnaround values used by the selected profile.
After making changes, use:
- Activate Profile to make the profile active
- Save Rules to save matrix changes
Impl / Business Emails
Section titled “Impl / Business Emails”The Impl / Business Emails page controls which internal users receive key implementation and business lifecycle emails.
This is useful when certain team members need to be notified when important business events happen.
The page shows summary cards for:
- Email Events: The number of email events configured
- Configured Recipients: The number of recipients assigned to receive these emails
The table includes:
- Notification: The event that triggers the email
- Description: What causes the notification to be sent
- Recipients: The users or email addresses receiving the notification
- Actions: A manage button for editing recipients
Examples of email events include:
- Send Business to Implementation
- First Payroll Created
- Send to Specialist
- Client Ready for Training
- Implementation Agent Assigned
Manage recipients
Section titled “Manage recipients”Click Manage beside an email event to update who receives that notification.
The recipient window allows you to:
- View current recipient email addresses
- Remove an email address
- Add another email address
- Save the updated recipient list
Click Save Changes after updating the recipients.
Summary
Section titled “Summary”Use the Business Settings section to manage business setup options that affect how JMS handles business records, communication, implementation, and billing-related workflows.
This area helps administrators keep business rules consistent across the system by managing:
- How often business processes occur
- Where leads come from
- How contacts are labelled
- How imported fields connect to billing charges
- How implementation turnaround rules are calculated
- Who receives important implementation and business emails
